Casino and theme night hire.

A gaming event lasts 2-3 continuous hours unless otherwise negotiated. The gaming period does not include set up and breakdown of the casino or theme night props and decorations. The hire cost of the casino will include the agreed time as so instructed on the booking form, or in certain circumstances, in agreement with the casino organiser. We cannot take responsibility for events that begin after the agreed time of the hire in any circumstances except, where it can be shown, that through our actions we have been the cause of the delay. For instance, failure by guests to arrive delaying the start of the casino hire or delays caused by activities running over into the time allotted for the casino, preventing the casino hire from beginning, is the sole responsibility of the Client and will be included in the hire period. No refunds will be made if the casino hire is delayed due to circumstances outside the direct control of Andy Smith Presents.

All theme night props and decorations will be set up prior to any invited guests arriving. Props and decorations will remain in place until the party concludes and then removed. Please note it can take 4-5 to complete set up of themed fun casino nights and an equal amount of time to set down and remove from the venue once all guests have departed. Andy Smith Presents is not responsible for any additional hire charges that may apply from the venue in order to complete set up and down. It is the responsibility of the hirer to inform the venue of the time it takes to complete set up and especially set down and remove at the end of the night.

Booking and payment

Andy Smith Presents will require a booking fee of 50% of the total cost of fun casino hire or any theme nights at the time of booking. This booking fee is non-refundable. Full payment must be made 30 days prior to the event . Payment is accepted by debit or credit card or direct bank transfer. All bookings in December must be paid on December 1st. If bookings are accepted within 30 days of the date of performance the full amount must be paid at the time of booking. Cash payments on the day of performance will only be accepted in exceptional circumstances upon arrival to set up.

 

Cancellations

Once a booking has been confirmed by us this forms the basis of a contract under English law. Any cancellation by the client is subject to a 50% cancellation fee of the total outstanding amount if cancelled within 60 days of the date of performance. Cancellations within 30 days of the date of performance will be charged at the original hire agreement rate subject to the discretion of the management. Such cancellations need to be communicated to us as soon as possible by calling Ian Vail only on the following mobile number (07840 672 234). Each cancellation will be considered on its own merits with Andy Smith Presents reserving the right to waive the cancellation fee if the cancellation is due to exceptional circumstances or if the management deem it reasonable to waive the fee for any other reason. The cancellation fee becomes payable immediately upon cancellation.

Please note that all booking fees and payments made up to the date of cancellation are non refundable.

The requested booking fee must be paid within 7 days of receiving the confirmation of booking form and terms and conditions of hire agreed otherwise Andy Smith Presents may accept bookings from other clients and your booking will be deemed unaccepted without any further contact from Andy Smith Presents.

Postponements 

If a postponement of booking is mutually agreed between Andy Smith Presents and the client the new date must be confirmed at the time of postponement and within a 90 day period from the date of the original booking. If we don't have availability during this 90 day period the booking will become cancelled and no fees paid up to date will be returned. We will not accept postponements for unspecified dates or periods in the future including seasons such as “The Spring” or “Summertime” “Easter” or “Christmas”. Please note our fees may have increased over the period of postponement and the new fees will become payable prior to the date of the new booking.

Delivery, set up and removal of hire.

It is a condition of hire for the client to make arrangements with the venue to allow access to set up at anytime on the day of performance. If set up cannot be completed at anytime during the day the client must liase with the venue to store the casino tables safely and securely at the venue until access can be gained to the area where the casino tables are to be erected. Fun casino tables will be delivered and assembled prior to the planned event by us. We will arrive approximately one hour to 30 minutes prior to the start time unless an earlier time has been previously agreed.

Please note that it can take up to 3-4 hours to deliver and set up fun casino theme nights and this minimum set up time must be allocated to complete set up safely and with fine attention to detail to create the maximum visual impact.

It is the responsibility of the client to make the arrangements with the staff and management of the venue that it can take up to3-4 hours to safely dismantle, pack away and remove all the theme night props and decorations and gaming tables. Andy Smith Presents must be allocated at least 3-4 hours after the celebration or event concludes to remove all items hired by the client and the venue owner, manager on duty and staff informed at the time of booking. Occasionally we can return the following day but we must have the option to remove after the event comes to a close to complete bookings the following day.

* Grand red carpet entrances created and any other hired items set up upon entrance or thoroughfare to exit will be dismantled 1-2 hours after the period of hire commences. Andy Smith Presents will reposition such hired items in the main function room if space and safety allows their repositioning.

All props and decorations are set up and positioned safely with Andy Smith Presents paying particular attention to health and safety of the clients invited guests and venue staff. Under no circumstances can any props or decorations be moved by the client. If any items are repositioned the hirer will take all responsibility for any accidents that may occur to their guests, venue staff or any other member of the public.

Under no circumstances will any props or decorations be set up or placed outside the venue including grand red carpet entrances created and Welcome to Las Vegas sign. All props and decorations are strictly for indoor use only.

Occasionally some items are not available and will be replaced with a suitable alternative.

Please note some venues do not lend themselves to displaying all props and decorations within theme night packages due to size and height restrictions and safety and it is the owners discretion if all of the props can be used for hire on very rare occasions.

 

Client liability

The Client will be liable for any damage or loss suffered to Andy Smith Presents fun casino equipment and theme night props and decorations during the 'Hire Period' of our casino equipment or any theme nights. The 'Hire Period' is defined as running from the time the casino equipment and theme night is assembled and created to the time the casino equipment is disassembled and collected by us. Any loss or damage to the casino equipment will be the sole liability of the Client, not the venue provider.

Occasionally, guests can become difficult or unruly whilst playing the casino tables, particularly when alcohol has been consumed. In such instances, the Client will be responsible for the actions and conduct of their guests without exception. In certain circumstances, guests may be refused access to the casino tables where it is considered their participation will have a detrimental effect on the game in progress or other guests enjoyment of the casino games. We further reserve the right to terminate the casino hire, with immediate effect, if our staff are subjected to unacceptable behaviour, verbal or physical abuse by the client or by any other person attending the casino games. In such circumstances, no refunds will be due to the Client.

 

Our liability

Our liability to the client is up to the cost of the value of the booking agreed on the booking confirmation. In circumstances where, for any reason, the casino hire does not take place due to a failure to show by us or for some other unforeseeable event the total amount claimable from us is the total price of the casino hire as agreed on the booking confirmation. No other damages or loss will be accepted by us to the client or any third party.

 

Conduct

Our staff will conduct themselves politely and professionally when dealing with the Client and his/her guests prior to, during and after the planned event.

 

Age restrictions

For legal and insurance purposes, minors under the age of 16 years old must, at all times, be supervised by a responsible adult.

 

Collection

Whenever possible we will dissemble and remove the fun casino at the end of the mutually agreed time period. If disassembly of the fun casino and theme is not possible at the end of the mutually agreed time period we will secure the fun casino equipment and return at a later time. This is however subject to the direction and discretion of the venue provider. Please note that it can take in the region of 3-4 hours to dismantle safely, pack away and remove any theme night props and decorations.

 

Reservations

We reserve the right to end our service, at the discretion of the management, at any time during the casino hire, if it is believed that the customer or any of their guests are acting with disruptive, dangerous or reckless conduct towards our staff or equipment during the Hire period. In such an eventuality, the management reserves the right to withhold payment, either full or part for any time outstanding or not completed. Further, we reserve the right to surcharge the customer for any loss or damage to our equipment occurring during the hire of any of our equipment by the customer or his/her guest's misconduct or negligence. We will however strive to resolve any and all disputes reasonably and equitably.
